Vouchers

How to Create Virtual Vouchers

College Board has prepared a video demonstration of the remote voucher creation process for multiple students, single students, and re-test students. This process takes place within your ACCUPLACER account and triggers notification emails to the student, the institution, and the ProctorU Platform. The student’s voucher notification email will contain all the necessary information for them to register for their remote exam.

Data Required to Create Vouchers Within Your ACCUPLACER Account:

  • Student ID
  • Student First Name
  • Student Last Name*
  • Student Date of Birth*
  • Student Email Address
  • Voucher Expiration Date
  • ProctorU Service Line (Live+ or Record+)
    *Note: These fields must match exactly between the ACCUPLACER and ProctorU Platforms. 

Assisting Students With Their Voucher Codes

Once you generate a voucher for a student, they will receive a voucher notification e-mail containing important information for creating a ProctorU account, scheduling their exam, and preparing for their session.

When students create their ProctorU profile, the details need to match exactly what was entered in ACCUPLACER. Any discrepancies could result in a Voucher Code Error. If students encounter any issues when entering their voucher code, use the table below to help them troubleshoot.

Date of birth entered is not the same as the date of birth on the voucher The date of birth in the ACCUPLACER and ProctorU profiles do not match. The student should confirm their DOB in their ProctorU profile. If correct, then check their ACCUPLACER profile to ensure the DOB was entered correctly and make any necessary updates.
Voucher number is invalid The voucher code entered does not match an existing voucher. Direct the student to check for typos or extra spaces/characters in the voucher code field within ProctorU Platform.
Voucher number has already been used A voucher is no longer usable after it has been used for a test that has been completed. If the student is allowed to test again, they will need to be issued a new voucher code.
Voucher number is cancelled The voucher number has been deactivated by the institution. A voucher cannot be updated for use again. A new voucher code needs to be issued.
Voucher number is expired The test was not completed within the given time frame. You can edit the expiration date on the Manage Vouchers Screen.
Last name entered is not the same as the last name on the voucher The name in the ACCUPLACER and ProctorU profiles do not match. The name entered in both profiles must be an exact match. Check the ProctorU and ACCUPLACER profiles for discrepancies like suffixes, hyphens, extra spaces in the field, etc. Also check that the first and last name are not backward in the ACCUPLACER account.
This site has no test units available. Additional units must be added in order to administer tests The institution’s ACCUPLACER test units have been depleted. The institution needs to purchase more ACCUPLACER test units before the student can continue.

How to Submit an Accommodation Request

  • When you receive an accommodation request from a student, you must submit an accommodation request.
  • Accommodation requests should be submitted at least 72 hours before the student’s scheduled exam.
  • We do not need any information about the student’s disability or reasoning for why the accommodation is requested.

Navigating Exam Data and Incident Reports

Exam Analytics & Session Review

Recordings of student screens, along with webcam audio and video, are captured during every exam session. These can be reviewed in real time or afterward. You can also dig into metrics like completion rates, performance, and proctoring outcomes at any time using the exam analytics dashboard.

Incident Reports

Review detailed reports of any session irregularities or rule violations in the platform’s Incident Report Center. These reports provide timestamps, descriptions, and supporting evidence, which can be used for further investigation and resolution.

Video Retention Policy

Screen and webcam audio/video recordings are accessible to the institution for one year, then automatically deleted per NIST 800-88 guidelines.

Note: After careful consideration and review of evolving test security trends, College Board ACCUPLACER has decided to retire Record+ (automated proctoring) at the end of this calendar year, on December 31, 2024.

Description

Record+

Test-takers complete their exam without proctor interaction. The proctoring system records their screen activity as well as video and audio. Our trained professional proctors review these recordings within 72 hours after exam completion, but 99% of audits happen within 24 hours.

Note: Will not be an available option for ACCUPLACER remote proctoring after December 31, 2024.

Live+

Test-takers are connected with a proctor throughout the entire exam session. If they engage in any prohibited actions, the proctor intervenes in real time and addresses the issue. If a proctor intervenes or if an incident of exam misconduct is reported during a session, that incident will be reviewed and audited by our team to validate whether misconduct occurred. We send these reports to clients within 48 hours of the incident creation in the platform, though the process is typically much quicker.

How Billing Works for Our Proctoring Services

Online Proctoring Fees

Proctor fee: A billable attempt occurs whenever a student accesses exam content. Institutions decide whether the proctoring fee is set to institution pay or student pay. If institution pay is selected, a monthly invoice goes out for all billable sessions in the given month. If student pay is selected, the student must pay at the time of scheduling.

On-demand fee: A fee applies to appointments that are scheduled less than 72 hours in advance. Institutions can decide whether the fee is set to institution pay or student pay. Even if the institution pays the proctor fee, the on-demand fee can be set to student pay. The fee can be avoided by selecting a date/time at least 72 hours in advance.

Invoices

If you are set up as institution pay, you will receive a monthly invoice for all billable sessions in that given month. You can expect the invoice within the first 5 business days of the month. It will be sent to your designated billing contact. If you need to update your billing contact, please contact us.

FAQs

How much does this service cost?
The cost of Meazure Learning is dependent on the service line chosen. The price breakdown is as follows:
  • Live+: $28.00
  • Record+: $12.00
Who pays the proctoring fee?
You have two choices on how to pay:
  • Student Pay – Students will be prompted to pay upon scheduling a test.
  • Institution Pay – The institution will be invoiced monthly.
What is the ratio between proctors and test-takers, and how many sessions can a proctor handle at the same time?
When test-takers are going through the exam launch process, the ratio is 1:1. Once they enter an exam, the test-taker to proctor ratio can go up to 4:1. However, if a proctor identifies any suspicious behavior, the test-taker will be transferred to an intervention specialist, which is a 1:1 interaction.
How does the platform detect and prevent proxy testing?
The platform employs multiple measures to detect and prevent proxy testing, including ID validation, checks for unpermitted applications, the use of trained proctors, integration with our Guardian Secure Browser, extensive telemetry data, and more. Our team also continuously monitors the web for new tactics and threats so we can respond accordingly. These measures have successfully addressed many proxy attempts.
Does the platform detect remote connections or virtual machines?
Yes, it looks for over 400 applications to detect virtual machine and remote access tools. The platform also has other methods to detect the presence of virtual security threats during an exam session.
How do you address the complaint from students that this is spyware?

Spyware is defined as a type of malicious software that surveils or collects information without the knowledge or consent of the user. Everything that occurs in our proctoring software or is collected during a remote proctoring session is visible to the user or explained in real time. In most cases, remote proctoring is provided as a convenient option for test-takers but not a requirement.

Test-takers can remove the Guardian Browser after the exam. We intentionally limit the data we capture and encrypt it. Our clients own this data, and we cannot legally use the data for anything other than proctoring. We have multiple security certifications demonstrating that we handle data with care.

My students are having trouble finding our institution dropdown in the dropdown when creating their account. How should I direct them to proceed?
Students will need to select College Board ACCUPLACER as their institution. After creating their account and entering their voucher code, they will see their connection to the specific institution they are testing with.
